Terms of Service

These terms apply to every candidate, company and employer using Arctic Safety Academy programmes, examinations and verification services. Arctic Safety Academy is a subsidiary of Actpen CTR LLC.

1. Acceptance of these terms

By creating an account, enrolling in a programme or submitting a trade verification request you agree to these Terms of Service, our Privacy Policy and our Refund Policy. Arctic Safety Academy ("the Academy", "we", "us") is a registered training provider and a subsidiary of Actpen CTR LLC, based in Longyearbyen, Svalbard, Norway.

2. Accounts and eligibility

  • Candidates must be at least 18 years old and provide their legal name and date of birth exactly as they appear on official identification. This information is printed on your certificate.
  • You are responsible for keeping your login details confidential. Accounts are personal and may not be shared; a company account may manage seats for its own employees only.
  • We may suspend accounts that show signs of exam fraud, identity misuse or abusive behaviour towards Academy staff.

3. Programmes, examinations and certificates

  • Each programme consists of reading modules followed by a 12-question module test. A score of at least 8/12 is required to unlock the next module. Module tests may be retaken without limit.
  • The final examination has 20 questions; the pass mark is 15/20. Candidates receive three attempts. After three unsuccessful attempts the enrolment is closed and a new enrolment is required.
  • Progress is saved automatically. You may pause and resume at any time within the 12-month access period.
  • On passing, a bilingual (Norwegian/English) certificate of completion is issued in your name with the date of completion and a unique certificate code. Certificates are valid for 24 months from the date of completion unless a stricter site or employer rule applies.
  • Certificates evidence completion of Academy training. They do not replace statutory, site-specific or employer-mandated inductions and practical drills.

4. Fees and payment

  • All fees are shown in euros and are one-time payments per enrolment or per verification request. The Academy never stores full card details.
  • Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
  • Payment, billing, tax, cancellation and refund mechanics are governed by the Paddle Buyer Terms, together with our Refund Policy.
  • Promotional codes are issued at the Academy's discretion, may be limited in number or time, and cannot be exchanged for cash.
  • Company bookings may be invoiced. Invoices are payable within 14 days; seats are activated once payment is received.

5. Trade certificate verification service

  • The verification service authenticates trade certificates issued outside the EU/EEA. The fee is €145 per request and covers up to two supporting PDF documents.
  • Decisions are normally issued within approximately 10 working days of a complete submission. This is a target, not a guarantee; complex cases or slow responses from issuing bodies may take longer.
  • The fee pays for the assessment work, not for a particular outcome. A negative decision is still a completed assessment; however, you may request a refund within 30 days of purchase in line with our Refund Policy, and refunds are handled by Paddle as Merchant of Record.
  • A positive decision produces a verification code that you may share with employers, who can check it on our public lookup page. A negative decision is recorded with the reasons available to you in your dashboard.
  • Submitting forged or altered documents is grounds for immediate rejection, account closure and, where required by law, reporting to the relevant authorities.

6. Examination integrity

Examinations must be completed by the enrolled candidate alone, without assistance. Sharing questions, answers or certificates, or attempting to complete an exam on behalf of another person, results in cancellation of the result and the certificate with no refund.

7. Intellectual property

Course materials, question banks, certificate designs and the Academy logo are the property of Arctic Safety Academy and Actpen CTR LLC. You may use materials for your own learning only; copying, redistributing or reselling them is prohibited.

8. Availability and liability

  • We aim for continuous availability but may schedule maintenance. If an outage prevents you from completing an exam attempt, that attempt is not counted.
  • Training is provided in good faith and aligned with recognised guidance, but first-aid and safety decisions in the field remain the responsibility of the individual and their employer. To the extent permitted by law, the Academy's total liability is limited to the fee paid for the affected service.

9. Changes and governing law

We may update these terms; material changes are announced on this page with a new "last updated" date and, for enrolled candidates, by email. These terms are governed by Norwegian law. Consumers keep any mandatory rights under the law of their country of residence.
